CONTRACT RATE

$27.06 per hour

Support Specialist - Parks

Overview

Provide direct assistance and support for the Parks Department. This includes clerical and data entry support for Parks. This position is often the first point of contact for customer service for Park customer's on the phone or in person at the office. The support specialist assists with the flow of information between park staff and park patrons.

Responsibilities

-Maintain park reservations system and schedule activities throughout the District parks, effectively communicating with public contacts including by not limited to, special event coordinators and organized sports groups.

-Assist the Park Superintendent in scheduling the Chelan PUD ball fields for league, tournament and school sports activities. Process paperwork and effectively communicates with various sports organizations and their representatives, school district personnel, and the public. Track ball field hours and report to Accounts Payable to ensure accurate billing of tournament directors. Post the ballfield schedules online.

-Track and maintain Parks Special Events calendar and required documentation, ensuring all appropriate paperwork is submitted and completed in a timely fashion. Update the master calendar; notify security and staff of upcoming events. Verify accurate and up to date insurance documentation is provided for all Chelan PUD operated parks. Involves working with a variety of contacts including PUD Risk Management Department, outside insurance companies, special event coordinators, School District personnel, and organized sports groups. Maintain Special Event “Conditions of Use” files and track the electronic calendar(s) for accuracy. Notify Loop Trail managing agencies of special events. Prepare and submit weekly park activities reports.

-Perform complex time-entry related processes for Parks crews on varying shifts. This includes in-depth understanding and interpretation of the Collective Bargaining Agreement as it pertains to meals, overtime, call-out, personal leave and other events relating to time entry. Verify accurate time reporting prior to supervisor’s review and approval.

-Provide clerical support to Parks Department. Prepare, track and receive department purchase requisitions and purchase orders. Maintain files, records and reports. Prepare correspondence, memorandums and reports. Maintain calendars. Prepare expense reports and travel authorizations. Order and distribute office supplies, reconcile staff P-cards and perform data entry to maintain or update records associated with materials and equipment. Update and maintain Parks Department internet pages.

-Track and monitor the supply of brochures, park guides, Loop Trail guides, and Park Rules & Regulations documents. Coordinate with Office Services for printing/publication and disbursement of same. Maintain Parks clothing inventory. Update spreadsheets to track visitor counts for all PUD parks. Assist with other departments with maintaining parks intranet and internet sites .

-Oversee and monitor Parks Department filing system, identifying and implementing enhancements as necessary. Assist with park sign inventory. Create and order new signs as necessary. Provide customer service to walk-in customers during regular office hours. Assist with assigning auditorium keys to PUD staff, and making District reservations.

-Maintain regular and predictable attendance: Perform related duties and responsibilities as required. Comply with District policies. Complete all required training. Maintain a working knowledge and comply with District safety procedures and specific safety requirements of this position, and those in accordance with applicable provisions of the Revised Code of Washington (RCW) and Washington Administrative Code (WAC).

Experience

-2+ years clerical support experience with emphasis on customer service and time-entry processes. required.

Skills and Abilities

A fully skilled incumbent will have the following knowledge skills & abilities:

-Requires strong knowledge and understanding of items that affect time entry as defined in the Collective Bargaining Agreement.

-A good working knowledge of different recreation opportunities in the greater Chelan County area, including but not limited to camping and other recreational facilities, is preferred.

-Must possess excellent customer service, interpersonal and communication skills and the ability to multi-task and handle a wide range of responsibilities on a daily basis in an accurate and timely manner.

-Must be self-motivated and have the ability to work well in a team environment or under minimal supervision.

-Requires ability to type net 40 wpm.

-To perform this job successfully, an individual should have knowledge of PeopleSoft Financials; PeopleSoft Timekeeping/HR; Microsoft Outlook; Contact Management systems ; Microsoft Access Database software; Web Posting/reservation software; FileNet Document Management systems; Maximo Order processing systems; Microsoft PowerPoint; Microsoft Excel ; and Microsoft Word. The individual must also be able to operate general office equipment, including, but not limited to computers printers, fax machines, copiers, and telephones.

-Must be proficient in reading, writing and speaking English.
