Whatcom Community College invites applications for a Classified, Program Coordinator-Mail Services (Class Code 107N) position.This position is responsible for scheduling and organizing all aspects of mail processes, including, but not limited to, receiving, sorting, and tracking all incoming and outgoing mail as well as domestic and international packages. Pick up and deliver mail, packages, and other items on and off campus as needed. The College intends to hire two Program Coordinators for Mail Services and they will report to the Copy, Print & Mail Services Manager.

Responsibilities

Duties include but are not limited to:

-Pick up and receive mail/packages from various vendors and enter data into tracking system.

-Deliver mail/packages both on and off campus.

-Process bulk mail, domestic, and international mail/packages for shipping.

-Instruct mail services staff and other college employees about the proper preparation of certified, insured, registered, bulk mail and package services.

-Track and maintain inventory related to the department.

-Identify potential problems, solutions and cost saving measures.

-Maintain operation and account records to produce monthly expenditure reports.

-Perform routine equipment maintenance and update software as needed.

-Provide backup support to the copy center.

Minimum Qualifications:

-High school diploma or equivalent.

-Possession of a valid, unrestricted, driver’s license and proof of insurance.

Preferred Qualifications:

-Basic computer competency and ability to learn software applications.

-Knowledge of creating and maintaining spreadsheets for periodic reporting.

-Experience using motor vehicles, pallet jacks, hand trucks and carts in the transport of materials.

-Knowledge of mail meters, automation processing and shipping and receiving programs.

-Understanding of standard mail, periodical mail, and bulk mail rules/regulations needed to prepare commercial, international and non-profit mailings.

-Strong customer service experience.

-Ability to make the best use if available time and resources.

-Experience in a community college/higher education work environment.

-Develops innovative ideas that provide solutions to all types of workplace challenges and brings ideas to manager.

Salary and Working Conditions:

-Range 40, full-time Classified salary starting at $3,376.00 per month with periodic increments to $4,385.00 per month.

-Positions shift is 40 hours per week, Monday through Friday, 8:00am-5:00pm. This position will require individuals to work both indoors and outdoors in all weather conditions, and may require a willingness to adjust work schedule as needed. Position can be physically demanding and requires the ability to lift up to 55 pounds safely and the agility to bend/walk/stand for extended periods of time.

-Accrues 8 hours per month of sick leave and 11.33 hours per month vacation leave with periodic vacation accrual increases based on longevity.
