Description Robert Half is seeking an Administrative Assistant to serve as the first point of phone contact for customers and vendors, while providing administrative support to the Leadership and Accounts Receivable Team. The successful candidate will possess prior receptionist and administrative experience, strong communication skills, a polished and professional demeanor, a friendly and positive attitude, strong attention to detail, organizational skills, and must be a team player.PRINCIPAL DUTIES AND ACCOUNTABILITIES:

Welcome on-site visitors, determine the nature of business, and announce and/or direct visitors to appropriate personnel

Promptly answer inbound calls, screen and direct appropriately, handle inquiries, and provide basic information when needed

Receive and sort mail, oversee deliveries, and manage filing, photocopying, scanning, and faxing

Provide general administrative and clerical support to the leadership and accounting team

Handle confidential business-related information and situations with discretion

Monitor office supplies and order new stationery and office equipment as needed

Organize maintenance companies to keep the office clean and safe, and ensure its appliances are in good working order

Report office progress to senior management and work with them to improve office operations and procedures

Perform data entry tasks into multiple electronic systems and formats

Assist with the coordination and organization of company meetings, trainings, and luncheons

Requirements

MUST HAVE:

2 to 3 years of customer service experience

Strong attention to detail

2 years of experience with MS Office

QUALIFICATIONS:

High school diploma required, with 3 years of relevant experience in a professional office environment

Strong written and oral communication skills with the ability to interact with all staffing levels

Proficiency in MS Office (Word, Excel, and PowerPoint) and strong typing skills with accuracy

Ability to operate office machines such as photocopiers and scanners, voice mail systems, and personal computers

Detail-oriented, organized, responsive, and flexible in adjusting to changing needs and priorities

Present a courteous and professional manner at all times while prioritizing and managing large volumes of calls
