Due to an in-house promotion, we are actively seeking a Front Office Administrative Assistant to join our team! This position is a vital component to our established customer base and is essential in our day-to-day operations. The Front Office Administrative Assistant is continuously collaborating with co-workers, assisting customers, and communicating with all parties to ensure an efficient and professional work environment with high customer satisfaction in our fast-paced and every-changing industry.
Daily tasks and responsibilities include, but not limited to:
-Customer Service & Retention: cordially welcoming customers; professionally and effectively speaking with customers on a multi-line phone system; and addressing customers' inquiries with knowledge and respect; and thank you cards, surveys, and customer follow-up.
-Scheduling: appropriately scheduling customer work with technicians according to individual skills, time of job, and part availability to ensure thorough, efficient, and timely job competition.
-Office Upkeep: maintaining a clean, organized, and presentable front desk, customer waiting area, and office. Including office inventory, supply organizing, re-stocking, and minor cleaning.
-Invoicing: entering vehicle and customer information; producing technician work sheets; executing estimates; communicating diagnostics and reviewing estimate with customers; ordering parts; entering work details and information; and finalizing invoices according to parts and labor.
-Accounts Receivables: processing payments; promptly collecting and applying payments received; recording and verifying payments received; deposit; and monthly balance statements.
-Mail Management: receiving, sorting, and distributing incoming mail and packages, as well as preparing outgoing mail and packages.
-Inventory & Parts Management: organizing; re-ordering; re-stocking; returns; and return verification.
-Basic Administrative Tasks: daily tasks such as copying documents; faxing; scanning; and addressing email communications
-Dispatching: take calls dispatched by customers, businesses, motor clubs, local law enforcement, and apps for disabled vehicles; record and provide drivers with pertinent details; run maps and provide accurate ETAs and quotes; and process payments.
-Errands: bank deposit; outgoing mail; customer pickup and delivery; and local parts pickup.
Required Skills
-excellent written and verbal communication skills to coordinate effectively with customers, businesses, co-workers, parts suppliers, and insurance companies
-ability to prioritize tasks, meet deadlines, make quick decisions, remember information, multi-task, strong attention to details, and ability to work independently and as a team
-valid driver's license
-previous experience and or training in front office, administrative, and or automotive industry strongly preferred
