Job Summary

The Assistant Director supports the Director with planning, developing and administrating of federal, state and institutional programs in adherence to all federal and state regulations, and institutional policies and procedures. The Assistant Director works closely with Financial Aid Office staff to administer and ensure compliance of all aspects of federal, state, and institutional aid. The Assistant Director is upbeat and positive and is committed to providing the highest level of customer service as they serve as the face of a continually growing and dynamic college community. The Assistant Director has an attention to detail, comfortable working independently and ability to comprehend and apply federal regulations.

Education/Qualifications

  • Bachelor’s degree from an accredited college or university

Knowledge, Skills & Abilities

  • Demonstrate experience with various government financial aid databases, such as, but not limited to, Ellucian Colleague Student Information System, FAA Access, NSLDS, COD, and SAIG Mailbox
  • Obtain a comprehensive knowledge of federal Title IV financial aid regulations and requirements, with the ability to interpret the complex financial aid rules, regulations, and applications of the U.S. Department of Education and the State of Wyoming
  • Effectively convey complex information in a personable manner
  • Analyze and solve problems using creativity, good judgment and initiative
  • Comprehend federal compliance language and concepts
  • Considerable skill in establishing and maintaining effective working relationships with officials, employees, students and parents
  • Manage a high volume of daily interactions with students, parents and the community

Responsibility/Duty

Represent and lead NWCCD’s Financial Aid office with a positive and student-focused attitude and share the general duties common to all financial aid team members, including:

  • Provide excellent and quality customer service to students, parents and members of the college community
  • Counsel prospective and current students, parents and guidance counselors on financial aid application procedures, timelines, policies and procedures.
  • Participate in committees to ensure accurate and timely information is delivered to both staff and students.
  • Review of financial applications; verify information for completeness and eligibility. Manage financial aid records while adhering to NWCCD’s stringent data safeguard protocols; maintain student record confidentiality as per FERPA regulations.
  • As a member of the Enrollment Services Team, provide support and leadership, while manages the quality of customer service to students, parents, and members of the college community.

    • Ensure that goals, objectives, plans, budgets, policies, practices and actions produce desired student achievement goals consistent with the overall mission and strategic plan of the College.
    • Practice and promote continuous quality improvement principles.
    • Promote and foster teamwork and cooperation between departments.

Responsibility/Duty

Assists with maintaining the Policy and Procedures manual to comply with federal, state and institutional regulations governing student financial aid; manages the current working knowledge of all employees in the financial aid office to ensure up-to-date information is given. Ensures all information given is accurate, reliable, and complies with federal regulations, office Policy and Procedures, and the mission statement of the college.

Provide responsive information, quick problem resolution, and full policy and procedural interpretations, explanations, and advice/guidance, in-person and on-the-phone, to students, their parents, college personnel, and the public.

Responsibility/Duty

In addition, the Assistant Director will:

1. Provide strategic direction and administration of student financial aid programs through the effective implementation, development, and management of the Ellucian Colleague software.

2. Assume reasonability of the Financial Aid Office in the absence of the Director.

3. Oversee daily reports processes and student enrollment monitoring, troubleshoots/resolves aid discrepancies as necessary; generates correspondence to students produced by the Financial Aid Office such as award letters, verification notifications, R2T4, using the Ellucian Colleague and other software systems.

4. Assist Director with enrollment reporting processes.

5. Process all federal and private student loan requests

6. Utilize Colleague reports to ensure federal aid disbursements are accurate in accordance to federal aid eligibility regulations; resolve all identified discrepancies and/or rejects of federal aid programs, to include the Pell Grant.

10. Manages federal Campus-Based programs and funding; ensure all regulations and requirements are met annually.

7. Processes all Return of Title IV Funds for official and unofficial withdrawals; including post-withdrawal disbursements.

8. Assists Director with preparing and leading activities with trainings in quarterly staff meetings.

11. Assist the Financial Aid Director with the financial literacy program to help educate students to understand the various financial topics so they can make informed and effective decisions; to contribute to minimizing student loan default rate.

12. Handle all special circumstances or professional adjustments pertaining to FAFSA applications.

13. Work alongside the Director with all internal and external audits.

14. Serves as a back-up for other aid processes.
